Jackson Hogg is delighted to be recruiting a Document Production Technician (Night Shift) for a fantastic global firm based in central Newcastle.

Hours of work – Monday to Friday 20:30 – 4:30am

Specific responsibilities include:

Technical ability

To produce and amend lengthy and complex business critical documents with speed and accuracy, in line with our house style
To proofread and check all work for spelling, grammar, formatting, presentation and sense
To be a highly knowledgeable user of key software packages (i.e. Word, PowerPoint, Excel, Visio and Outlook) and take responsibility for any training needs to improve relevant skills needed to meet the needs of the business. This includes working towards achieving Microsoft Office Specialist (MOS) qualifications in the key applications
Experience in creative thinking to assist in the redesign of layouts in PowerPoint and general problem solving
To be proactive in learning new skills and technology within your role to support the needs of the business
To proactively work with other members of the team to make sure relevant documentation is produced to meet internal and external clients’ expectations and deadlines

Administrative skills

To maintain and update entries on the DP team tracker and the teams BigHand workflow
To take responsibility for logging incoming work in conjunction with other team members
To take responsibility for ensuring that each piece of work is correctly saved and accessible by the requestor, logged and returned to the sender with the appropriate communication
To attend and contribute proactively to meetings convened during operational hours
To carry out other ad-hoc support when needed i.e. photocopying, scanning

Professional skills

To respond to internal and external telephone enquiries politely and professionally
To support other members of the team and to provide cover as and when necessary to make sure that work is completed to a high standard and meets the required deadlines
To make sure that there is an effective and efficient handover of work between shifts
To carry out any other duties as reasonably requested

General approach

To show a positive and ‘can-do’ approach and interest in the work that the team undertakes
To show initiative when responding to queries and to actively try and seek solutions to problem documents
To proactively share information in relation to document best practice or ‘fixes’ to document problems, consistent with the team’s overall aim for excellence in accuracy and efficiency
To support and build working relationships with the team and to actively work for the interests of the whole team
To be flexible in meeting the needs of the team and the business – e.g. occasional shift changes (with reasonable notice) to accommodate team meetings, training sessions, support requirements etc.
Reliability and punctuality are also key to enable the team to operate effectively
To be confident working on own in the office, liaising with other teams members via phone and zoom

Skills and Experience Required

Established document production experience in a fast paced professional services environment using templates and House Style with exposure to working with lengthy and corrupt documents
Excellent accuracy and attention to detail
Typing speed of at least 65wpm and proficient in both audio and copy typing
Proficient user of Word, PowerPoint, Excel and Visio 2016
Experience of working on and problem solving corrupt documents
Experience of using PDF Docs, Adobe Pro and DocXTools
Experience of working with scanned documents
Ability to work under pressure and meet deadlines
Pro-active and positive with the ability to build effective working relationships
Ability to use initiative and problem solve document queries
MOS Word Expert Qualification (additional MOS qualifications PowerPoint, Excel and Outlook beneficial)
